SMS stands for short message service. SMS allows mobiles devices to communicate with each with short messages. When a message is sent, it goes through a nearby tower and then to an SMS centre. After the message is sent to the closest tower near the destination and sends the message to the receivers phone. The potential uses of SMS in businesses include sales promotions; marketing campaigns; orders; discount coupons/vouchers; virtual gifts; product launches; product verification/password confirmations; appointments/reminders; alerts; customer support; short surveys; and recruitment.
The benefits of SMS are that you can send messages whenever you like; the other person that receives the messages doesnt need to have their phone on; and it helps family and friends keep in touch. The limitations are that the messages must be a certain amount of characters; you will need basic typing skills to use it; and using SMS when the issue is serious would not be good.
The benefits of SMS in businesses are that messages have high engagement rates; and most customers prefer messages instead of emails.
The limitations of SMS in businesses are that messages must be short; and if the business sends too many emails then it may feel intrusive towards the customer.
Emails sends information from one computer to another through telecommunications. It can contain text, images and other attachments. When you send an email, it is uploaded to the SMTP (Simple Mail Transfer Protocol) server as an outgoing mail. The SMTP will use the DNS (Domain Name Server) to find out where the receiver is located.
If they find it then the email is sent to the receiver. But if it is not found then the sender will get an email saying that the previous email didn’t go through. The potential uses of emails in businesses include communicating with co-workers and customers; scheduling meetings; and sharing newsletters.
The benefits of emails are that its easy to send emails; they are free to send; they usually dont take long to send emails; people dont have to be present to receive an email; files and images can attach onto an email; emails can be left in draft so you dont have to send it straight away; and the messages are encrypted so you can send confidential information. The limitations of emails are that the receiver and the sender must both have an email address; people can waste time in work by sending emails to their friends instead of working; attachments can contain viruses; if you dont know the email address of the receiver then you cant send the email.
The benefits of emails in businesses are that emails allow businesses to send longer messages; the customer can print out a paper copy of the email; and you can customise the email to make it more aesthetically pleasing. The limitations of SMS in businesses are that emails are often left unopened; and the customers may not receive the email.
Social networking allows people to build social relationships with other people. It lets you create a profile by putting in your information (e.g. your age, name, sex etc.) Most social platforms let you post pictures and videos. They also allow you to follow other people and communicate with them. The potential uses of social networking in businesses include promoting the brand; humanising the brand; promoting the brands website; generating potential customers; boosting sales; and partnering with influencers.
The benefits of social networking are that it boosts self-esteem; people can become more aware of current things happening in the world; its easier to study and do research; it can help you get jobs; and it keeps people up to date on current technology. The limitations of social networking are that people are exposed to cyberbullying; it could isolate people with disabilities; it can destroy social skills; and people might disclose too much information which can affect their safety.
The benefits of social networking in businesses are that it reduces the money used for marketing (the money can be used to create more products); it can increase sales; it can increased the amount of people that go to the businesss website; and it makes it easier to see customer feedback. The limitations of social networking in businesses are that if you dont have a clear strategy then it can negatively affect your business; it needs daily monitoring to promote the business; if you dont actively manage your social media account then you won’t get any benefits from it; you can get unwanted attention from social media (e.g. bullying); and having more exposure online means that there are more risks (e.g. getting hacked).
It means Voice over internet protocol. VoIP helps deliver voice communications over internet protocol networks. The device takes your analogue voice signals and converts them into digital signals then sends them over your broadband line. The potential uses of VoIP in businesses include making multiple calls; collaborating with each other in the business; and connecting with customer support.
The benefits of VoIP are that it is low cost; it is portable (mobile phones); it has lots of features; you don’t need a new phone to change to VoIP; it uses bandwidth more efficiently; and more than one phone call can be handled on one access line. The limitations of VoIP are that it needs continuous power supply and internet; the voice and call quality can be poor; and when calling 999 it will only provide the address that was used to set up.
The benefits of VoIP in businesses are that you get immediate response (unlike emails where you need to wait for the receiver to get the message); phone calls can be made 24/7 (so it isn’t limited); most businesses have telephones already; calls are free (so there are no extra fees); if there is an answerphone then you can leave a message in it; and its free to call people anywhere. The limitations of VoIP in businesses are that if you want an immediate response then the person has to be available to take the call; the line might be engaged; if there is noise or interference then the quality of the call will be bad; you can see the person so non-verbal communication will be lost; and if you need to record things being said in the call it can be difficult.
A personal assistant is a person who assists with a specific person with their daily business or personal tasks. They deal with phone calls; organises meetings; books and arranges travel; reminds the person of important tasks; manage databases and filing systems. The potential uses of personal assistants include answering phone calls; taking notes; scheduling meetings; emailing; texting; and doing other jobs.
The benefits of being a personal assistant are that you will be able to go to clients parties; you can develop more skills; getting freebies that clients didn’t want; meeting interesting people; the power that the boss relies on you for everything; and every day could be different. The limitations of being a personal assistant are that your boss could ask you to do questionable tasks.
The benefits of hiring a personal assistant in businesses are that they can do tasks for you (which can free up your time to do other times); they can help lower stress from your work (by doing tasks for you, it can take the load off your shoulders); and as they are always with you, you can develop a friendship. The limitations of hiring a personal assistant in businesses are that it could cost a lot to hire someone (especially if you have a small business); and the process of finding a good personal assistant can be time-consuming.
Instant messaging offers real-time test transmission over the internet. It sends short messages from the sender to the receiver. The potential uses of instant messaging in businesses include communicating with other team members; improving business opportunities; customer service; and customer feedback.
The benefits of instant messaging are that it allows you to chat with people in real-time’; it allows you to feel more connected with friends and family; and its useful for customer support contact. The limitations of instant messaging are that you cant have draft messages which might not allow you to reflect on the message; for it to be free, you will get adverts and popup windows. You can pay if you dont want that; and anyone can send you a message unless you set up your account carefully.
The benefits of instant messaging in businesses are that you can have real-time communication; it is cost-effective (e.g. intentional calls are free); you can communicate with people in the business; and you can collaborate and share ideas with one other. The limitations of instant messaging in businesses are that there is a lack of security (you can get hacked); if the receiver is working and you want an instant response then you will be disturbing them; you can get viruses; and you will have to find a software that is compatible with your network.
A teleconference is a live exchange between two parties. It is audio-based only. It allows businesses to conduct meeting with people that are not physically there with them. The potential uses of teleconference in businesses include having a meeting; negotiating business; and interviewing job candidates.
The benefits of teleconference in businesses are that you can attend a meeting without leaving your office; reduces travel expenses; reduces travel time; you can schedule meeting within minutes; and you can keep in touch with other branches of your company. The limitations of a teleconference are that it may feel impersonal; it can be considered informal; and you might have difficulty hearing the other person.
Video conference allows people to communicate with video and audio. It comprises a central cloud-hosted infrastructure routing calls and transmits video, presentation and audio feed between the two or more parties. The potential uses of teleconference in businesses include having meeting; negotiating business; and interviewing job candidates.
The benefits of video conference in businesses are that it is cheaper than travelling; no time limits; it’s more effective than meeting in person; and it’s more productive (you won’t have to wait for people to arrive). The limitations of video conference are that it can be considered impersonal; international time zones can it harder to make a call; and setup cost (only if you go for the best program).
A cellular network allows people to communicate over areas comprised of cells and transceivers. It allows people to make phone calls, go on the web, and send messages. Your phone sends signals to a cell site/transmitting tower from the sender’s cell phone to the receiver’s cell phone. The potential uses of a cellular network in businesses include making calls; messaging; and making video calls.
The benefits of the cellular network are that while roaming, it provides voice/data services; it’s easy to maintain; it’s easy to update the equipment; when mobile phones switch on it immediately connects to a cellular network; and it can connect fixed and wireless telephone users. The limitations of cellular are that it offers lower data rate compared to wired networks; the communication can be affected by physical things, climatic conditions and by other wireless devices; and there are security vulnerabilities.
The benefits of a cellular network in businesses are that it can improve customer service; it can allow people to work from home; it can increase productivity; and it allows people to stay in contact with their clients, suppliers, customers etc. The limitations of a cellular network in businesses are that it can disrupt people from working; and if the business doesn’t say what time to contact them then you can get unexpected calls (affects your personal life).
The satellite orbits the earth and allows people to do jobs including communication, navigation, television broadcasting, mapping, scientific research and military. Your device sends a signal through your modem to the satellite dish then it goes to the providers satellite and then the signal goes to the provider. The signal transmits to the providers satellite then to your satellite and your computer. The potential uses of satellite in businesses include adverting; making phone calls; and researching scientific information (science-based business).
The benefits of a satellite are that it covers large geographic areas; it is affordable; you don’t need a phone to have satellite internet; and satellite internet can handle high bandwidth. The limitations of a satellite are that the propagation delay is unavoidable; there are noise and inference; it is slower than cable; and the weather can affect the signal path of the internet.
In conclusion, there are a lot of different forms of communication for business and personal use. I have discussed the purpose of each form; how each of them works; and their benefits and limitations. I cant judge which form is the best because they all have their own advantages and disadvantages. Also, each form is good for a certain purpose. For example, for formal messages, emails and calls might be a good use of it but SMS may be considered informal.
